The Transport Coordinator plans, schedules, and monitors the company’s fleet of trucks and heavy equipment to maximize utilization and keep projects on schedule. Stationed at the main warehouse, the role supervises drivers, equipment operators, and an in-house repair crew, while outsourcing major repairs when required. Close daily coordination with the Site Monitoring Officer is essential to align equipment deployment with on-site priorities and minimize downtime.
Core Responsibilities
- Fleet Scheduling & Dispatch
- Develop daily and weekly deployment schedules based on project priorities and equipment availability.
- Adjust schedules in real time to accommodate urgent site requests or equipment failures.
- Maintain a central calendar/dashboard of fleet assignments and movement history.
- Maintenance & Repair Coordination
- Implement preventive-maintenance programs for all fleet assets, tracking service intervals and warranties.
- Direct in-house repair staff for routine servicing and minor fixes; arrange external vendors for major repairs or overhauls.
- Keep comprehensive service logs, repair records, and compliance certificates.
- Breakdown Response & Rescue Operations
- Monitor fleet status and dispatch rescue/recovery resources when breakdowns occur to minimize project delays.
- Document incidents, analyze root causes, and recommend corrective or preventive actions.
- Ensure recovery equipment, spare parts, and tools are stocked and ready.
- Coordination with Site Monitoring Officer
- Hold daily check-ins with the Site Monitoring Officer to confirm each project’s equipment needs and schedule changes.
- Align transport routes, loading times, and staging areas with on-site logistics plans.
- Relay field feedback to adjust fleet allocation, maintenance windows, and refueling schedules.
- Personnel Oversight & Safety
- Supervise drivers, equipment operators, and repair staff—managing rosters, leave schedules, and performance evaluations.
- Conduct toolbox meetings and enforce safe-driving and equipment-operation standards.
- Coordinate driver/operator training or certification upgrades in partnership with HR.
- Cost & Inventory Management
- Track fuel consumption, maintenance costs, parts usage, and downtime; prepare monthly cost-efficiency reports.
- Monitor stocks of fuel, lubricants, tires, and spare parts, triggering timely replenishment.
- Recommend cost-saving initiatives such as route optimization, preventive-maintenance refinements, and vendor negotiation.
Qualifications
- Bachelor’s degree in Business Administration, Logistics, Mechanical Engineering, or a related field.
- At least 3 years’ hands-on experience in fleet or heavy-equipment management (construction or logistics preferred).
- Working knowledge of preventive-maintenance programs and basic mechanical/electrical repair processes.
- Strong organizational, multitasking, and problem-solving skills; able to manage shifting priorities.
- Proficiency with MS Excel and/or fleet-management or dispatch software for scheduling and cost tracking.
- Excellent communication and leadership abilities for coordinating diverse teams and vendors.
- Valid driver’s license and familiarity with local transport and safety regulations.
